To Healthcare Leaders, Policymakers, Patient Advocacy Organizations, and Elected Officials:

We, the undersigned patients, family members, and concerned citizens, respectfully request the adoption of more privacy-conscious check-in procedures within healthcare facilities.

Many patients are routinely asked to verify personal information aloud at reception desks in waiting areas. This often includes full names, dates of birth, addresses, phone numbers, emergency contacts, insurance information, and other sensitive details that can easily be overheard by strangers.

While we understand the importance of verifying patient information for safety and administrative purposes, we believe there are more private alternatives available. In many cases, patients have already completed registration forms electronically before arriving for their appointments. Yet they are still asked to repeat personal information verbally in public settings.

This issue affects more than individual comfort. It concerns patient dignity, confidentiality, trust, and the reasonable expectation of privacy when seeking healthcare services.

Many of us have overheard personal information belonging to other patients while sitting in waiting rooms. Likewise, we recognize that our own information may have been overheard by others. This practice can leave patients feeling uncomfortable and vulnerable, particularly in an age when identity theft and data security are growing concerns.

We are not seeking to create additional burdens for healthcare workers, who often perform their jobs with professionalism and compassion. Rather, we are asking healthcare organizations and policymakers to encourage or require the availability of privacy-conscious alternatives, such as:

• Electronic verification through patient portals or mobile devices in person 

• Tablets or written forms for confirming information

• Private verification areas when practical

• Simple confirmation of previously submitted information unless updates are needed

• Patient-requested confidential check-in accommodations

Healthcare continues to evolve in response to advances in technology and patient needs. We believe patient privacy during the check-in process deserves the same attention and consideration.

We respectfully request that healthcare organizations, accreditation bodies, regulators, and lawmakers review current practices and explore opportunities to establish stronger privacy protections during patient registration and check-in.
