Petition to Improve Accessibility and Participation in the Canewood HOA Annual Meeting
The Issue
We call on the Canewood Homeowners Association (HOA) Board to reschedule and relocate the annual April board meeting to ensure fair access, adequate attendance, and proper representation for all homeowners.
The Canewood Homeowners Association (HOA) currently schedules its annual April board meeting on the third Thursday at 6:00 PM. For many homeowners, this time has consistently proven inconvenient, making it difficult to attend and nearly impossible to achieve the quorum required to vote on new board members.
As a result, important community decisions are frequently delayed, and many residents are left without a meaningful opportunity to participate or have their voices heard.
In addition to the timing challenges, the meeting is traditionally held at the Scott County Library, which presents significant logistical limitations. Achieving a quorum requires approximately 100 households to be present. The library does not have adequate parking to support this level of attendance, especially when accounting for regular library visitors. This further discourages participation and makes meeting quorum requirements unrealistic.
For years, homeowners have struggled to attend due to work schedules, family responsibilities, and other personal commitments. These barriers prevent many engaged and willing residents from contributing to discussions that directly affect our neighborhood and golf course.
The effectiveness and integrity of our HOA depend on broad, active participation from its members. A quorum is essential not only for board elections but also for discussing policies, financial matters, and decisions that impact our entire community. Every homeowner’s perspective matters, and the current structure limits fair representation.
To address these concerns, we respectfully propose the following:
*Reschedule the annual April board meeting to a more accessible date and time, such as a weekend or a later evening.
*Relocate the meeting to a venue capable of accommodating 100+ attendees, such as a local church or community facility with sufficient parking and space.
We urge the HOA Board to consider this petition and take meaningful action to improve accessibility and participation. By doing so, we can foster a more inclusive environment that reflects the diverse schedules and commitments of our residents.
