Make all Study Rooms on UIC's Main Campus Reservation-Only

The Issue

Many students at UIC (mostly Main Campus) struggle to find open study rooms in places like the ARC (2nd floor) and the Business Building (Douglas Hall, 2nd & 3rd floors) because the same groups occupy them for hours, sometimes the entire day, without giving others a chance to use them. To make access fair for everyone, we’re asking UIC to make all study rooms reservation-only, with reasonable time limits and an easy online booking system. This change would ensure that all students have equal access to quiet, productive study spaces and prevent overcrowding or misuse of these shared areas.

Template 1: General (for any office)
Subject: Request to Make All UIC Study Rooms Reservation-Only

Dear [Recipient’s Name],

I’m writing as a concerned UIC student who frequently struggles to find an available study room in buildings like the ARC and Douglas Hall. Many of these spaces are occupied by the same groups for hours, sometimes the entire day, leaving other students without access to a quiet, productive environment.

Please consider implementing a reservation-only system for all study rooms across campus, with reasonable time limits and online booking. This change would make access more fair, efficient, and beneficial for the entire UIC student body.

Thank you for your time and consideration.

Sincerely,
[Your Full Name]

Template 2: To the Office of the Vice Chancellor for Student Affairs (ovcsa@uic.edu or jrex@uic.edu)
Subject: Petition for Reservation-Based Study Rooms at UIC

Dear Vice Chancellor Tolliver,

I’m reaching out to express my support for the student-led petition to make all UIC study rooms reservation-only (ARC and Douglas Hall study rooms are not reservation-only). Many of us have faced ongoing difficulties accessing study spaces due to students occupying them all day without rotation.

By adopting a reservation-based system, UIC can ensure fairer access and uphold its commitment to supporting academic success and inclusion. I hope the Office of Student Affairs will review this issue and take steps toward a more equitable policy.

Thank you for listening to student concerns.

Best regards,
[Your Name]
UIC Student

Template 3: To UIC Facilities / Administrative Services (jcoronad@uic.edu or servdesk@uic.edu)
Subject: Proposal to Implement Reservation System for Study Rooms

Dear Facilities Management Team,

I’m writing to request that UIC consider making all campus study rooms, including those in the ARC and Business Building (Douglas Hall), reservation-only. These shared study spaces are frequently occupied for extended periods by the same groups, preventing other students from using them.

A clear reservation system with time limits (such as two-hour slots) would help ensure fair access, reduce congestion, and make UIC’s study spaces more accessible for everyone.

Thank you for your attention to this matter and your continued efforts to improve campus spaces for students.

Sincerely,
[Your Name]
[Your Major / Year, UIC]
