As RSO leaders at Kennesaw State, we’ve directly faced challenges with reserving event space for Registered Student Organizations (RSOs). The current system often lacks clarity and consistency, causing delays, stress, and confusion for students trying to serve their peers, as well as staff members in student activities. Improving operations would make the process more efficient and allow RSOs to focus on building community instead of struggling with unnecessary obstacles. It would also relieve stress from the limited event coordinators in the student activities department.

RSOs play a crucial role in the university environment. They foster a sense of belonging and community, provide students with opportunities for personal and professional growth, and enhance the campus experience through events and activities. However, the efficacy of RSOs is heavily dependent on their ability to efficiently book spaces for their events.

The existing reservation process is fraught with ambiguities and bottlenecks. Students frequently encounter issues such as unclear booking procedures, inefficient communication channels, and unpredictable waiting times. These problems not only hinder the planning of events but also negatively impact student morale.

Kennesaw State, as one of the largest universities in Georgia with over 375 Registered Student Organizations, has a responsibility to provide an efficient and reliable reservation system that accommodates the needs of its diverse and growing student body.  

Implementing streamlined and transparent reservation procedures is essential. Suggested improvements include:

- Hiring more event coordinators in the Office of Student Activities 
- Communicating clear guidelines and timelines to RSOs for processing reservations to avoid last-minute conflicts and cancellations.
- Providing a dedicated support team to assist with any booking issues or changes, ensuring rapid response and resolution.

Efforts to refine the reservation process can enhance the overall effectiveness of RSOs and the student activities department and subsequently enrich the Kennesaw State University experience.
