SUB: Indispensible precautions to ensure safety of the   employees against  CORONA OUTBREAK.

Respected Sir,

          Needless to mention that the world is perilous by the outbreak of CORONA Virus, and now West Bengal is under potential threat, followed by numerous numbers of patients found COVID 19 positive. As per WHO it has already been declared pandemic. Hence it has become imperative for our organization to take formidable step to curb the hazards of this disease, to its employees. We propose following preventive measures to evade the advent of any dismay:

1)    Complete Shutdown of any non emergency services, to reduce contagion.

 

2)    Attendance on rotational basis, where not more than 50% employees shall attend the duties at the same time in the office. Rosters should be prepared by Controlling and Reporting Officers, with a view to minimize contamination.

 

3)    Absolute repudiation of any TRANSACTIONS through CASH and CHEQUE. Only utmost essential transactions shall be accepted, through POS MACHINE and ONLINE PAYMENT METHODS, NEFT & RTGS, as liquid cash has substantial chance of carrying germs, which stays alive in notes of denominations and coins as well, as per experts.

 

4)    Proper cleaning and sanitization of office premises, at regular interval, not less than 5 times a day shall be ensured, every day, for the next 14 days atleast.

 

5)    Immediate extension of due dates. Due Dates shall be spread all over the months, postulating a measure where not more than 50 consumer shall come to the office for payment. To ascertain fewer footfalls in the office, security guards should allow only 50 to 60 numbers of consumers, through register.

 

6)    A phone with an operator should be installed and deployed in an isolated place in office where, consumer will convey their queries to the respective dealing assistants, over phone, and the handset has to be disinfected after every use.  

 

7)    Creation of barricade and taking necessary measure to ascertain distance of employees from the consumers.

8)    Discontinuation of Disconnection and reconnection, for the fortnight. While if it is deemed necessary, then payment should be made in the aforesaid modes only.

 

9)    Regular triggering of an alarm or hooter at the interval of 20 minutes to remind all the employees and staffs to sterilize their hands.

 

10) ELIMINATION OF ALL PAPER BASED APPLICATION has to be ensured. All the complaints shall be made through email and whatsapp, of the respective Customer Care Centres, for which an EMAIL & WHATSAPP number shall be catered to the consumers, for submitting their grievances, through advertisement in print media.

 

11) Office Communication and meetings should be preferred through online for which an INTRANET cum INTERNET CHAT GROUP, should be devised, to combat exigencies.

 

12) Any arrivals in any office, apart from employees and staffs of the department, shall be affirmatively assured sterilization, by the security or home guard.

 

13) All the security guards, home guards, PTS and Mobile van employees are instructed to be safe and sterilized, and follow the protocols of disease prevention.

 

14)   All the biometric attendance methods should be replaced by attendance through LOGIN ON SAP. That will ensure time related discipline and hygiene. For the employees deployed in offices where these facilities are unavailable, visiting respective controlling officers, within reporting time, one employee at a time, shall be exercised as attendance method. In the absence of controlling officer the next reporting officer in the hierarchy shall be rendered responsible for attendance evaluation, who may seek arrival information over Landline number of that respective office.

 

 

 

       Sir as we are discern of being under immense pressure to cater services to consumers without exposing the employees to the susceptibility, and it is a prospective challenge for the management to protect everyone from this pervasive disease, which lead to the severe casualty in many countries. It is evident that we all are vulnerable irrespective of job type, cadre type and posted places. As we are deemed unsafe for the next 14 days and may be more, we must pledge to fight together to exterminate CORONA VIRUS and its effect from Bengal, for which we humbly request you to adjudicate our aforementioned proposal.We have utter faith on your profound assessment prowess. We believe your decision will epitomize employee safety, and you and we together, will see the dawn of new horizon that is free from COVID-19 effect.
