The Issue

We, the students and club committee members of the university, respectfully submit this petition to request reconsideration of the decisions regarding the awarding of certificates to club committee members for the current term.

There are currently 22 clubs within the university, yet only 7 clubs were awarded certificates, while the remaining clubs were informed that they did not meet the required criteria. While we understand that the university has established requirements for certificate eligibility, we believe that the contributions and commitments of the clubs that were not awarded certificates deserve to be reviewed again based on the activities and evidence already submitted.

Throughout the current term, clubs have carried out various activities, programmes and ongoing commitments. These activities have also been documented in the activity reports submitted to the university. Therefore, we respectfully request that the submitted reports and the actual contributions of each club be taken into consideration when reconsidering the certificate eligibility decisions.

We believe that club contributions should not be assessed solely based on whether they follow the same type or format of activities. Different clubs serve different purposes and naturally operate in different ways. For example, sports-based clubs may conduct regular weekly training sessions throughout the semester, requiring continuous commitment, planning, coordination and participation from committee members. Other clubs may contribute through Open Day participation, workshops, programmes, events, meetings and other student activities.

These forms of contribution require time and effort from committee members even when they may not take the form of large-scale programmes or activities funded directly by the university.

Furthermore, some clubs conduct activities using their own allocated club funds rather than university funding. This may occur due to practical circumstances such as the timing of university funding, the application process, or the time required for funding approval. The use of club funds should not, in itself, diminish the effort, time and contribution involved in carrying out legitimate club activities.

Therefore, we respectfully request that the Student Affairs Department reconsider the certificate eligibility decisions for the clubs that were not awarded certificates, taking into account:

1. The activity reports already submitted by the respective clubs for the current term.

2. The actual activities and ongoing commitments carried out by each club throughout the semester.

3. Different forms of club involvement, including weekly training, Open Day participation, workshops, programmes, events and other documented activities.

4. Activities conducted using club funds, where these activities were carried out as part of the club's legitimate responsibilities and commitments.

5. The time, effort, coordination and responsibilities undertaken by committee members, even when the nature of their activities differs from those of other clubs.

6. The overall consistency and fairness of certificate recognition across different types of clubs.

We respectfully emphasise that this petition is not intended to challenge the university's authority or disregard the existing requirements. Rather, it is a request for the decisions to be reconsidered in light of the evidence and documentation already provided by the clubs.

The 22 clubs within the university contribute to student life in different ways. A club's contribution should therefore be considered within the context of its purpose, activities and responsibilities rather than solely by comparison with the activities of other types of clubs.

We believe that the committee members who have dedicated their time, effort and commitment throughout the term deserve to have their contributions properly considered. Where clubs have already provided activity reports demonstrating their continued involvement, we respectfully ask that these reports be reviewed again before the certificate eligibility decisions are considered final.

We therefore sincerely request that the Student Affairs Department reopen and reconsider the certificate eligibility assessment for the clubs that were not awarded certificates, based on the activities and contributions documented in their submitted reports.

We hope that the university will give due consideration to this request and ensure that the contributions of student club committee members are recognised fairly and consistently.

Thank you for your time and consideration.

Sincerely,

Students of UNITAR International University
